The Role
The Recruitment and Onboarding Coordinator plays a key role in supporting the talent acquisition and onboarding processes within the organisation. Working closely with hiring managers, HR, and external partners, this role ensures an efficient and positive candidate and employee experience. The coordinator will manage administrative and logistical aspects of recruitment, facilitate smooth onboarding, and contribute to employer branding efforts.
Key Responsibilities
Recruitment & Selection:
- Support the full recruitment lifecycle, including drafting job descriptions, posting vacancies, and managing applicant tracking systems (ATS).
- Coordinate candidate sourcing, screening, and shortlisting in collaboration with hiring managers.
- Schedule and organise interviews, liaising with both candidates and interview panels.
- Ensure compliance with UK employment laws, including right-to-work checks and data protection requirements.
- Maintain recruitment records and provide reports on hiring metrics.
- Assist with employer branding initiatives, such as careers pages, social media campaigns, and recruitment events.
Onboarding & Induction:
- Manage pre-employment processes, including reference checks, contract preparation, and new starter documentation.
- Coordinate induction schedules, ensuring new employees receive appropriate training and resources.
- Serve as a key point of contact for new hires, addressing queries and facilitating a smooth transition into the organisation.
- Monitor probation periods, ensuring timely check-ins and feedback collection.
HR Administration & Compliance:

- Assist in the development and continuous improvement of recruitment and onboarding policies.
What we’re looking for:
- Experience in recruitment coordination, talent acquisition, or HR administration.
- Strong organisational skills with the ability to manage multiple tasks and deadlines.
- Excellent communication and interpersonal skills, with the ability to liaise effectively with stakeholders at all levels.
- Knowledge of UK employment regulations related to recruitment and onboarding.
- Proficiency in Microsoft Office and familiarity with ATS or HR software.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- This role requires a proactive and detail-oriented individual who can ensure an efficient and engaging recruitment and onboarding experience for all employees.
Person specification
Education & Qualifications:
- GCSEs (or equivalent) including Maths and English.
- A-levels or equivalent qualifications.
- Studying towards or interested in obtaining a CIPD Level 3 qualification (or equivalent) is desirable but not essential.
Knowledge and skills
- Basic understanding of HR processes and employment legislation in the UK.
- Strong organisational and time management skills with the ability to prioritise workload effectively.
- Excellent attention to detail and accuracy in administrative tasks.
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
- Strong verbal and written communication skills, with the ability to interact professionally with employees at all levels.
- Ability to handle sensitive and confidential information with discretion.
Experience
- Some administrative experience, preferably in an office environment.
- Experience in handling HR-related documentation, such as contracts and policies (desirable but not essential).
